Registration Guidelines

[Registration Process]
  • All participants must register online in advance.
  • Please be sure to make a registration through online before coming to the venue.
    No application procedure will be accepted at the venue in-person.
  • The registration fee is the same for both “in-person attendance with on demand service" and "on demand service only."
  • To avoid any trouble, please DO NOT register more than once.

    *1: Only the main symposium attendee can attend “Evening Panel Discussion” and “Banquet”.

    *2: Both the main symposium attendee and the short courses attendee can attend “VLSI Symposium Workshops” and “Demo Session & Reception”.

    *3: We strongly recommend that you download the files BEFORE attending the symposium. To avoid access concentration and maintain stable internet connection at the venue, the batch download link will be disabled during the symposium period (from June 9 to June 12)

    [Side Events Information]
    We will host several side events alongside the VLSI symposium. You can register for these events using the same registration system as the VLSI symposium.

    *4: Diversity Meeting (June 10)
    -Additional fee is required.
    -Limited seating available, tickets sold on a first-come-first-served basis.

    *5: Silicon Nanoelectronics Workshop (June 8-9)
    -Additional fee is required.

    -Free of charge, but registration is required.

    (2) Payment

    All payments must be made in Japanese Yen and can be made by credit card (VISA, MasterCard, Diners Club, AMEX or JCB) only. Please complete the payments no later than May 9 for the Early Registration.

    There are some cases where credit card payment error occurred, because of authentication failure with 3D secure.
    We recommend you make registration ahead of time.
    In case of a payment error, please contact the official support of your credit card.
    Otherwise please try to pay by another credit card or try with another device or browser.

    (3) Receipt

    For receipt, you can download the PDF of receipt from your registration account after online registration and payment.

    (4) Confirmation

    - Upon completion of each step in the registration process, a total of three emails will be automatically sent to your registered e-mail address:
     [STEP1] After completing personal information entry, an e-mail with your login password will be sent.
     [STEP2] After completing the entry of participation details, a confirmation e-mail will be sent.
     [STEP3] After completing the payment, a payment confirmation e-mail with QR code will be sent.
    - Please keep the payment confirmation e-mail with QR code and present it at the registration desk to receive your Symposium materials.
    - If you do not receive any e-mail message within 24 hours, please contact the Secretariat and also check your spam folder as it may have arrived there.

    (5) Cancellation

    In case of cancellation, please send a message by email to the Secretariat Japan.
    The following cancellation fees will apply based on the date when the Secretariat Japan receives your cancellation notification.

    After May 28, 2025 100% of the amount of payment (no refund)

    Refunds will be made after the Symposium.

    (6) Inquiries for Visa documentation

    Deadline for Visa Support Application May 7, 2025

    Citizens of certain countries are required to obtain a visa to enter Japan. Please check the following website of the Ministry of Foreign Affairs of Japan (MOFA) to know if you need to obtain a visa and the visa application procedures.

    The organizer will prepare the documents that should be prepared by the inviting person in Japan and send them to you.

    Before you apply for assistance, you are required to take the following steps.

    1. Complete your registration with full payment of the registration fee

    2. Book a flight

    3. Reserve a hotel
        *The period of your stay must be scheduled for a maximum of 2 weeks (including symposium period (5 days), arriving and departing day in Japan (2 days)).

    4. Download questionnaire form by clicking “Questionnaire Form for Visa Support” button on the main menu of your registered account after your registration is complete.

    5. Submit filled questionnaire form and copy of passport to the VLSI2025 visa support office (visa-support-team@t-e-i.co.jp) by May 7, 2025.
        When sending us a copy of your passport, please be sure the following points.
        *A copy of the page with the photo is uploaded.
        *Your passport is valid.
        *Passport must be of the nationality indicated on the questionnaire form.
        *If you are also applying for a visa for accompanying persons, you must also send a copy of their passport.

    Important Notes:
    *If you are unable to obtain a visa and cancel your registration, you will still be subject to the VLSI2025 cancellation policy.
    *The organizer will issue visa support documents, but this does not guarantee that you will receive a visa.
